The Municipal Clerk attends and records meetings of the Township Committee, prepares, maintains and attests to official records of all action taken by the Township Committee, and serves as custodian of the Township's official records.

The Municipal Clerk is the Chief Registrar of Voters and serves as Chief Administrative Officer of elections held in the Township.

The Deputy Clerk is the Registrar of Vital Statistics and issues birth and death certificates, and marriage licenses.

CERTIFIED COPIES OF BIRTH, MARRIAGE and DEATH CERTIFICATES

If you need a certified copy of a certificate for someone who was born, died or married in Long Hill Township (formerly known as Passaic Township), complete the Application for a Certification or a Certified Copy of a Vital Record form REG-3 and bring or send it to the Registrar's Office.  Certified copies cost $10.00 each. 

Please fill out the applicable portions of the request form and provide a copy of Photo ID such as Driver's License.

If Photo Driver's License is not available please provide two alternate forms if ID with address such as:

  • non-photo driver's license
  • vehicle registration
  • insurance card
  • voter registration card
  • passport
  • Green card
  • county ID
  • school ID
  • utility bill

Certified copies are $10.00 each. Checks or money orders are to made payable to: Long Hill Township.
(please note: for Long Hill Township records requests, do not make checks or money orders out to "State Registrar"; that is for NJ State records only even though the same form REG-3 is used for both State and local Long Hill Township requests.)

  • State regulations require that you specify the EXACT name and dates for any certificate required.  We are not able to conduct vague searches.
  • Records which are not on file at Long Hill Township may be available from the New Jersey State Registrar of Vital Statistics.  Pick up the NJ Request Form REG-3 at Town Hall, download it from the NJ State Registrar website, or from the Long Hill website (link above).

NEW JERSEY OPEN PUBLIC RECORDS ACT

The Municipal Clerk is the Custodian of Records under the New Jersey Open Public Records Act.  If you want to view or copy a public document, you should read our Public Records page, which contains the Township Policy, a link to the NJ law, background, exceptions, instructions, and a link to the required Request Form.  Police Records are available directly from the Police Records Office.  See the Police Records Page for details, exceptions and the Request Form.


OTHER PERMITS

Many activities conducted by residents or visitors in the Township require permits or licenses.  

  • Permits for any Zoning or Construction matter are listed on the Construction Permits Summary page.  Fees vary with the magnitude of the work.
  • Some licenses required by the State of New Jersey are available from the Municipal Clerk.
  • Some permits required by the State of New Jersey are available through the Police Department.  These are fully described on the Police Permits page.
  • All other permits required by the Township are issued by either the Municipal Clerk or the Police Department. 
  • Some activities do not require a permit, but rather require approval (in some form) by the Township Committee.   These are listed on the Permits page because the Municipal Clerk will arrange for such requests to be directed to the Township Committee.
